Refund Policy

Last updated: 8 September 2026

At The Rolling Cocktail Club, every event requires advance planning, preparation, staffing and stock allocation. This policy explains what happens if a booking is cancelled, changed or cannot go ahead.

Booking Deposits

A deposit may be required to secure your event date.

The amount and payment terms will be clearly stated in your quotation or booking confirmation.

Once a booking has been confirmed, we may begin incurring costs and reserving staff, stock and vehicle availability specifically for your event.

Where a customer cancels, any amount retained by The Rolling Cocktail Club will be reasonable and proportionate to the losses and costs resulting from that cancellation. UK consumer guidance makes clear that cancellation charges and retained deposits should reflect genuine losses rather than operate as excessive penalties.

Cancelling Your Booking

If you wish to cancel your event, please contact us in writing as soon as possible.

Any refund will depend on:

  • how much notice is provided;

  • costs already incurred in preparing for your event;

  • stock or services already purchased specifically for the booking;

  • staffing or supplier commitments already made;

  • whether we are reasonably able to secure another booking for the date; and

  • any cancellation terms stated in your individual booking confirmation.

We will always aim to deal with cancellations fairly and reasonably.

Changes or Postponements

If you need to change the date of your event, please contact us as early as possible.

Where we are available on the new date, we will normally try to transfer your booking rather than treat it as a cancellation.

Any transfer will be subject to:

  • availability;

  • changes in pricing;

  • additional travel or venue costs;

  • supplier availability; and

  • any costs already incurred for the original event.

Where postponement is possible, we will always try to find a practical solution.

Cancellation by The Rolling Cocktail Club

In the unlikely event that The Rolling Cocktail Club has to cancel your booking and cannot provide the agreed service, we will refund any amounts paid for services that we are unable to provide.

Where appropriate, we will also make reasonable efforts to offer an alternative date or suitable alternative arrangement.

Nothing in this policy limits any rights you may have under applicable consumer law. Terms allowing a business to retain customer payments where the business itself fails to provide the agreed service may be considered unfair.

Events Cancelled Due to Circumstances Beyond Our Control

Occasionally an event may be affected by circumstances outside either party's reasonable control, such as severe weather, flooding, major road closures, government restrictions, serious vehicle problems or other exceptional events.

Where this happens, we will work with you to determine the fairest practical solution, which may include:

  • postponing the booking;

  • transferring payments to another available date;

  • changing the service arrangements; or

  • issuing an appropriate refund where applicable.

Any deductions will reflect reasonable costs already incurred and the circumstances of the cancellation.

Event-Specific Purchases

Where we have purchased personalised, bespoke or event-specific items at your request, these costs may be deducted from any refund where the items cannot reasonably be reused or returned.

We will explain any such deduction where applicable.

Cooling-Off Periods

Consumers entering into some contracts online, by telephone or away from business premises may ordinarily have statutory cancellation rights.

However, UK consumer regulations contain exceptions for certain services provided on a specific date, including catering and services related to leisure activities. Event bookings may therefore fall within an exception to the standard 14-day cancellation right depending on the nature of the booking.

This does not affect any other statutory rights you may have.

Refund Processing

Where a refund has been agreed, we will aim to process it using the original payment method wherever reasonably possible.

Please allow a reasonable period for the refund to appear in your account once it has been processed.

How to Request a Cancellation or Refund

Please contact us as soon as possible and include:

  • your name;

  • event date;

  • booking reference, if applicable; and

  • the reason for the cancellation or refund request.
