TERMS AND CONDITIONS

Terms & Conditions

Last updated: 8 September 2026

These Terms & Conditions apply to bookings made with The Rolling Cocktail Club for mobile bar, cocktail and event services.

By confirming a booking, paying a deposit or otherwise instructing us to provide services, you agree to these Terms & Conditions.

1. Bookings

All bookings are subject to availability and are only considered confirmed once:

  • the booking details have been agreed;

  • any required deposit has been received; and

  • confirmation has been issued by The Rolling Cocktail Club.

Your quotation or booking confirmation will set out the agreed date, location, service times, package, estimated guest numbers and pricing.

Any changes requested after confirmation may be subject to additional charges.

2. Deposits & Payment

A deposit may be required to secure your event date. The amount will be stated in your quotation or booking confirmation.

The remaining balance must be paid by the payment deadline stated in your booking confirmation.

Failure to make payment by the agreed date may result in the booking being cancelled.

Any additional services, staff hours, stock or costs agreed after the original booking may be invoiced separately.

3. Cancellations

If you need to cancel your booking, please notify us in writing as soon as possible.

Deposits are generally used to secure the event date and cover preparation and administration costs and may therefore be non-refundable, subject to your statutory rights.

Depending on how close the cancellation is to the event date, additional charges may apply where stock, staffing, travel, equipment or other costs have already been committed.

The cancellation terms applying to your particular event will be confirmed as part of your quotation or booking agreement.

4. Changes to Your Event

Please tell us as soon as possible about any significant changes to your event, including:

  • guest numbers;

  • venue;

  • timings;

  • access arrangements;

  • menu requirements;

  • service duration; or

  • event format.

We will do our best to accommodate changes, although additional costs may apply.

Significant changes may require a revised quotation.

5. Venue Access & Setup

The client is responsible for ensuring that The Rolling Cocktail Club has suitable access to the event location.

This includes sufficient space and safe access for the vehicle, setup, operation and departure.

Please tell us in advance about restricted access, low entrances, difficult terrain, parking restrictions, height or weight restrictions, underground services or any other conditions that could affect safe access.

Where suitable access cannot be provided, we reserve the right to alter or decline the service where necessary for safety or operational reasons.

6. Licensing & Permissions

The sale and supply of alcohol is subject to UK licensing law.

Where a premises licence, Temporary Event Notice or other permission is required, responsibility for obtaining it will be agreed between The Rolling Cocktail Club, the client and/or venue before the event.

xWe reserve the right not to serve alcohol where doing so would breach licensing requirements or any applicable law.

7. Age Restrictions & Responsible Service

Alcohol will not be served to anyone under the age of 18.

We may operate a Challenge 25 policy and request valid photographic identification from anyone who appears to be under 25.

Acceptable identification may include a passport, UK photocard driving licence or other recognised proof-of-age identification.

Our staff reserve the right to refuse service to anyone who:

  • appears intoxicated;

  • behaves aggressively or abusively;

  • cannot provide suitable proof of age when requested; or

  • could not legally or safely be served alcohol.

The decision of our bar staff regarding responsible alcohol service is final.

8. Food Allergies & Ingredients

Cocktails may contain or come into contact with allergens, including ingredients found in spirits, liqueurs, syrups, garnishes, juices and other products.

If you or your guests have allergies or specific dietary requirements, please tell us before the event.

We will make reasonable efforts to accommodate disclosed requirements, but we cannot guarantee an entirely allergen-free environment because drinks are prepared in a working bar where multiple ingredients are handled.

Guests with serious allergies should speak directly to a member of staff before ordering.

9. Cocktail Menus & Stock

We aim to provide the agreed drinks and brands listed in your booking.

Occasionally, a particular ingredient or product may become unavailable due to circumstances outside our control.

Where this happens, we may substitute it with a product of comparable quality wherever reasonably possible.

Seasonal ingredients and garnishes may also vary according to availability.

10. Guest Numbers

Pricing may be based partly on the estimated or confirmed number of guests.

Please provide accurate guest numbers by any deadline stated in your booking confirmation.

Significant increases in guest numbers may result in additional charges or require adjustments to staffing, stock or service.

11. Service Times

The agreed service period will be stated in your booking confirmation.

If you would like the bar to remain open beyond the agreed finishing time, this will be subject to staff availability, licensing restrictions and venue requirements.

Additional service time may be chargeable.

12. Weather & Outdoor Events

The Rolling Cocktail Club operates a mobile vehicle and may attend outdoor events.

The client and venue are responsible for ensuring that the proposed operating area remains reasonably safe and accessible.

Extreme weather, flooding, unsafe ground conditions, high winds or other circumstances may make it unsafe or impossible for us to operate.

Where necessary, we reserve the right to alter, delay or suspend service for safety reasons.

13. Damage & Behaviour

The client is responsible for taking reasonable steps to ensure guests behave appropriately around our vehicle, bar, equipment and staff.

The client may be charged for deliberate or negligent damage caused by the client or their guests to our vehicle, glassware, equipment or other property.

Threatening, abusive, violent or unsafe behaviour towards our staff will not be tolerated and may result in service being suspended or terminated.

14. Breakages

Normal accidental glassware breakage associated with bar service will usually be treated as part of normal operation.

However, excessive, deliberate or negligent loss or damage may be charged to the client.

15. Photography & Social Media

We may occasionally photograph our vehicle, bar setup or cocktails at events for promotional purposes.

We will take reasonable care not to use identifiable photographs of guests as the primary subject without appropriate permission.

If you would prefer us not to photograph our setup at your event, please let us know before the event.

16. Force Majeure

The Rolling Cocktail Club will not be responsible for failure or delay in providing services where this results from circumstances genuinely outside our reasonable control.

These may include severe weather, road closures, vehicle breakdowns, accidents, fire, flooding, government restrictions, major transport disruption, power failures or other exceptional events.

If such circumstances occur, we will make reasonable efforts to find an appropriate solution, alternative arrangement or rescheduled date where possible.

17. Our Liability

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

Subject to applicable law, The Rolling Cocktail Club will not be responsible for indirect or consequential losses arising from circumstances outside our reasonable control.

Nothing in these Terms & Conditions affects your statutory consumer rights.

18. Personal Information

Personal information provided during enquiries and bookings will be handled in accordance with our Privacy Policy, available on our website.

19. Complaints
